A move-out statement has to land on one number: what goes back to the tenant, or what the tenant still owes. Getting there by hand means tracking the deposit, any interest your state or city requires, unpaid rent, cleaning, and repairs. It is easy to drop a line, double count one, or forget the interest entirely, and every mistake becomes a reason for the tenant to dispute the whole statement.

Enter the deposit held, an interest rate if one applies to you, how long you held the money, and each deduction category. The calculator computes simple interest for the months held, totals the deductions, and shows either a refund due or a balance owed. It does not judge whether a deduction is lawful; it only does the arithmetic so your statement adds up and can be checked line by line.

How to use this tool

  1. Enter the deposit you actually hold and, if your jurisdiction requires it, the annual interest rate and the number of months the deposit was held.
  2. Fill in unpaid rent, cleaning, and repair totals from your receipts, using prorated amounts for any replaced items.
  3. Read the refund due or balance owed, then list each deduction on your itemized statement so the totals match this result exactly.

What the math assumes

  • Interest is simple, not compounded, and is prorated by whole months held divided by 12.
  • Interest is zero unless you enter a rate; the tool does not know which states or cities require it.
  • Every deduction you enter is treated as one you have already judged to be lawful and documented; nothing is filtered or capped.
  • If deductions exceed the deposit plus interest, the shortfall shows as a balance owed by the tenant rather than a negative refund.
  • No administrative or processing fee is added; if your lease and state allow one, include it in the repair or cleaning line.

Frequently asked questions

What if the deductions are larger than the deposit?

The refund shows as zero and the difference appears as a balance still owed by the tenant. Your statement should still itemize every deduction, show the deposit applied against them, and state the remaining amount you are requesting.

Do I have to pay interest on a security deposit?

Only some states and cities require it, and the rate and rules vary. If yours does not, leave the rate at 0. If it does, use the rate your jurisdiction publishes and keep the calculation on the statement.

Can I deduct for normal wear and tear?

No. Ordinary wear from everyday living is the owner's cost. Enter only charges for damage beyond normal wear, unpaid rent, and cleaning needed to restore the move-in condition.
